Accountants
AI for accountants, without the admin
Receipts read and posted, clients chased and onboarding handled, so your team spends its time on advice, not admin.
Accountants example: a client sends a photo of a fuel receipt on WhatsApp at 08:12. AI reads the supplier, amount, VAT and category, posts it to Xero with the receipt attached, and thanks the client a minute later.
What I can take off your hands
Receipts read and posted
Clients send photos or emails, and the supplier, amount, VAT and category are read and posted to Xero or QuickBooks.
Client chasing on autopilot
Polite reminders for missing records and signatures go out on a schedule, and stop as soon as the client replies.
Onboarding without the back and forth
New clients get the right forms and checklists, and their details are copied into your practice software.
Private AI for client files
Ask questions across client documents without putting confidential data into a public chatbot.
A week, before and after
Where the time goes in a typical accountant week, and what it could look like with the admin handled.
| The job | Now | With automation |
|---|---|---|
| Keying in client receipts | 6 hours across the team | Read and posted; you review the odd ones |
| Chasing missing records | 2 hours of emails | Reminders on a schedule |
| Onboarding new clients | 1 hour per client | Forms sent, chased and filed |
| Finding answers in old files | Searching folders | Ask the private assistant |
| Seeing who is behind | Checking each client | A Monday summary |
How AI helps an accountancy practice
AI for accountants is not about replacing judgement. It is about the hours spent keying in receipts, chasing clients for missing records and answering the same questions every January. Those jobs follow patterns, and patterns are what AI and automation handle well.
In most small practices the biggest saving is document handling. Clients send photos, PDFs and forwarded emails. AI reads the supplier, date, amount and VAT, suggests a category, and posts it to Xero or QuickBooks. Anything it is unsure about waits for a person to check. The team reviews instead of types.
The second saving is chasing. Reminders for missing bank statements, unsigned engagement letters and overdue records go out on a schedule, in your practice's tone, and stop the moment a client replies. Nobody has to remember who was chased last week.
Client confidentiality comes first. Data only goes to the systems that need it, in accounts the practice owns. For questions across client files, a private AI assistant can run on UK-hosted servers or your own hardware, so confidential documents never go into a public chatbot. Your professional obligations still apply, and a person always signs off the work. For costs, safeguards and where to start, read the AI for accountants guide.

Example project
An accountancy practice with four staff
Before
Clients sent receipts by WhatsApp, email and post. Someone spent most of Monday keying them into Xero and chasing the clients who had not sent anything.
What could be built
- Receipts sent by photo or email are read, checked for VAT and posted to the right client in Xero
- Anything unclear, such as a missing date or a duplicate, waits in a short review list
- Reminders for missing records go out on a schedule and stop when the client replies
- A Monday summary of which clients are up to date and which are behind
Could save
About 10 hours a week
Could free up around 10 hours a week across the team.
Example cost
£3,800 to build, then £145 a month
Time to build
5 weeks
Questions people ask
Does it work with Xero and QuickBooks?
Yes, both, along with most practice management software that can send and receive data. I will check yours on the first call.
What about client confidentiality?
Client data only goes where it needs to, and sensitive work can run on private, UK-hosted AI. Your professional rules still apply, and you stay in charge of sign-off.
Will it replace staff?
It takes over the typing and chasing, so your team has more time for the work clients value, and for growing the practice.
Will you sign a data processing agreement?
Yes, a written agreement setting out what data is handled and where can be part of the work.
Can clients still send things the way they do now?
Yes. Photos, emails, WhatsApp and post (once scanned) all work, so clients do not need to learn anything new.
What is the best AI for accountants?
There is no single best tool. Xero and QuickBooks have useful AI features built in, and general assistants like ChatGPT or Claude are good for drafting. The gains usually come from joining these up around how your practice works, which is what I build.
Is it safe to put client data into ChatGPT?
Not into the consumer version, free or paid, which can use what you type to improve its models. Business plans from the main AI providers do not train on your data, and private AI keeps everything on servers you control. Even then, only share what the job needs. I will recommend the right option for the kind of data involved.
