Trades
Less admin for trades businesses
Quote requests answered, jobs booked and invoices out of the door while you are on the tools.
Trades example: a customer asks for a kitchen quote at 21:04. A reply in your tone goes out a minute later, the enquiry is saved to your CRM, you are notified, and a follow-up is booked for Thursday at 9am.
What I can take off your hands
Quote requests answered
Every enquiry gets a reply with your availability within minutes, even when you are up a ladder.
Job sheets to invoices
Mark a job done and the invoice is built from your price list and sent, with a pay-by-card link.
Your week in one message
Jobs booked, quotes waiting, invoices unpaid: a short summary every Monday morning.
Photos into posts
Send a photo of a finished job and get a post written for Facebook, Instagram and your Google profile.
A week, before and after
Where the time goes in a typical trades week, and what it could look like with the admin handled.
| The job | Now | With automation |
|---|---|---|
| Replying to quote requests | 3 hours, mostly evenings | Replies go out in minutes; you check the tricky ones |
| Typing up invoices | 2 hours on a Sunday | Sent when you mark the job done |
| Chasing unpaid invoices | 1 hour of awkward calls | Polite reminders go out for you |
| Posting finished jobs online | Usually doesn't happen | Send a photo, approve the post |
| Knowing how the week went | A guess | A short summary every Monday |
Where most trades start. Illustrative, not a client result.
Example project
A two-van plumbing and heating firm
Before
The owner answered quote requests from his phone at night, and typed up invoices from job sheets every Sunday. Some enquiries went cold before he replied, and some invoices went out a fortnight late.
What could be built
- Website, email and Facebook enquiries get a reply within minutes, with the next free dates from his calendar
- Every enquiry lands in one simple list, with a polite follow-up after three days if it goes quiet
- A job marked done on his phone becomes a Xero invoice with a pay-by-card link
- Friendly payment reminders after 7 and 14 days, which stop as soon as it is paid
Could save
About 6 hours a week
Could free up around 6 hours a week, and get invoices out the same day.
Example cost
£3,200 to build, then £95 a month
Time to build
3 weeks
Questions people ask
I work on my own. Is this for me?
Yes. One-person businesses often feel the admin most, because there is nobody else to do it. Most start with one job, usually enquiries or invoicing.
Do I need new software?
Usually not. It works with the email, phone and accounts software you already use, and a simple spreadsheet is fine.
What does it cost?
Prices are fixed and agreed before I start. See the pricing page, or ask on a free call.
I am always on site. Can I run it from my phone?
Yes. Approvals, job sheets and summaries all work from your phone, and nothing needs a computer day to day.
What if a customer wants to speak to me?
The reply says you will call back, and the enquiry is flagged for you. It never pretends to be you on the phone.
Can it send quotes?
It can send your standard prices and book a visit. Proper quotes still come from you, because every job is different.
What’s the one job you’d
like off your list?
Tell me on a free 20-minute call. We’ll look at how you do it now, what could change and whether it’s worth doing.
No preparation, no pressure. You’ll speak directly to Neil.
